[Legal Entity], [Address], [Jurisdiction]) before launch.
This Privacy Policy explains how [Legal Entity] ("Valid Email Verifier", "we", "us") collects, uses, and protects information when you use our email-verification service (the "Service"). By using the Service you agree to this Policy.
1. Information we collect
- Account information — name, email address, company name, and password (stored hashed).
- Billing information — handled by our payment processor (Stripe). We do not store your full card number; we keep records of transactions, invoices, and credit balances.
- Email lists you upload — the email addresses (and any data in your uploaded files) you submit for verification. See §4.
- Usage and technical data — log data, IP address, device/browser information, and job activity, used to operate and secure the Service.
2. How we use information
- To provide email verification and deliver your results.
- To process payments, manage credits, and send service/billing notices.
- To provide support and respond to your requests.
- To monitor, secure, debug, and improve the Service.
- To comply with legal obligations.
3. Legal bases (where applicable)
Where data-protection law (e.g. GDPR/UK GDPR) applies, we process personal data on the bases of contract performance, our legitimate interests in operating and securing the Service, your consent where required, and compliance with legal obligations.
4. The email lists you upload
When you upload a list, the email addresses in it are personal data of third parties. For that data, you are the controller and we act as your processor: we verify the addresses on your instructions and return results. We do not sell this data, use it to send marketing, or use it for any purpose other than performing verification for you. You are responsible for having a lawful basis and the right to submit each list (see the Terms).
5. Service providers / sub-processors
We share data with vetted providers only as needed to run the Service:
- Stripe — payment processing and billing.
- Amazon Web Services — file storage (S3) for uploads/results and a verification cache (DynamoDB).
- Hosting and infrastructure — our cloud hosting provider.
- Email delivery — for transactional/service emails.
A current list of sub-processors is available on request at [privacy@your-domain].
6. Data retention
Uploaded lists and result files are retained for the period set in your account / our retention configuration, then deleted from active storage. Verification outcomes may be kept in an email-keyed cache to speed up and reduce the cost of future checks. Account and billing records are kept as required for legal, tax, and accounting purposes. You can request earlier deletion as described below.
7. Your rights
Depending on your location, you may have rights to access, correct, delete, export, or restrict processing of your personal data, and to object or withdraw consent. To exercise these rights — including deletion of uploaded lists and results — contact us at [privacy@your-domain]. We will respond within the timeframe required by applicable law.
8. Security
We use technical and organizational measures to protect data, including access controls, encryption in transit, and permission-checked downloads. No method of transmission or storage is 100% secure, but we work to protect your information and to notify you of material incidents as required by law.
9. International transfers
We may process and store data in countries other than yours. Where required, we use appropriate safeguards for such transfers.
10. Children
The Service is for business use and is not directed to children under 16. We do not knowingly collect their data.
11. Changes to this Policy
We may update this Policy from time to time. Material changes will be posted here with an updated date.
